Vendor Booth Information

RTP Dandiya Raas, a premier Bollywood Dandiya and Garba event, is happening on October 19 and 20, 2018 at Raleigh Convention Center, Raleigh, NC. The purpose of this event is to celebrate the spirit of Navaratri and bring the community and business together under one roof - promote art, culture, ethnicity and heritage in Raleigh North Carolina. This event offers an excellent opportunity for commerce and business networking promoting various aspects of Indian culture such as crafts, clothing, decoration articles, ethnic products, cultural cuisine and tourism.

If you are interested in renting a booth space for the event, please review the information below and submit your request. We will review your application and provide a prompt response. We reserve the right to refuse participation by anyone without specifying a reason. All merchandise sold at the event must be legal and allowed for sale as per North Carolina Law.

Terms and Conditions

  • Approved vendors are required to be at the Raleigh Convention Center by noon on to set up their booths. Booth must be ready by 6:00pm on the event day and must be staffed all times during the event. We are unable to provided staff to unload or load your items or help setup or take down your booth
  • Vendors will be provided approx. 10ft x 10ft booth space for single booth or 20ft x 10ft booth space for double booth as per the contract. Each single booth is provided with two long tables and each double booth is provided four long tables. No table covers or decoration items are provided for your booth. Vendors will not be permitted to bring their own tables. A standard sign with the organization’s name is allowed to be displayed for each booth.
  • Assignment of booths will be done by the India321 Vendor Committee. Booth assignment is final and non-negotiable
  • Power outlet is available for purchase at $25 per outlet. Please bring at least a 100’ long extension cord
  • Vendors must indicate the category of what they are selling in the application form. Vendors are not permitted to sell anything other than described during the booth registration
  • No vendor will be allowed to sell any alcoholic or non-alcoholic beverages. There will also be no consumption of alcohol during the event
  • Vendors are strictly prohibited from subletting or sharing booth space without permission from the organizers
  • Vendors will not be allowed to use any kind of public announcement system, speakers, microphones etc
  • Vendors must always keep their booth in professional and good condition
  • We take no responsibility or liability for any loss, damage or theft during the event or destruction caused by attendees, weather, terrorism or any act. Vendors will hold organizers harmless and would be responsible for the damages incurring to the exhibits
  • Refundable deposit: All vendors will be required to pay a refundable cleaning and damage deposit of $200. This fee must be paid along with the application fee. The deposit fee will be refunded within 60 days after deducting any damages and cleanup charges
  • If the vendors fail to comply as per the rules and regulations, they will be immediately dismissed and will not be allowed to participate in the event. No refunds will be provided
  • Vendors will ASSUME ALL OF THE RISKS OF PARTICIPATING IN ANY/ALL ACTIVITIES ASSOCIATED WITH THIS EVENT, including by way of example and not limitation, any risks that may arise from negligence or carelessness on the part of the persons or entities being released, from dangerous or defective equipment or property owned, maintained, or controlled by them, or because of their possible liability without fault. By signing this application, each vendor specifically agrees to WAIVE, RELEASE, AND DISCHARGE PALS LLC and/or their directors, officers, employees, volunteers, representatives, and agents, and the activity holders, sponsors, and volunteers from any and all liability, including but not limited to, liability arising from the negligence or fault of the entities or persons released, for my death, disability, personal injury, property damage, property theft, or actions of any kind which may hereafter occur to me including my traveling to and from this activity. Each vendor shall INDEMNIFY, HOLD HARMLESS, AND PROMISE NOT TO SUE the entities or persons mentioned in this paragraph from any and all liabilities or claims made as a result of participation in this activity, whether caused by the negligence of release or otherwise
